Interviewer: Thanks for making time. Walk me through how your team tracks customer conversations today.

Maya (Ops Lead): Everything lives in a shared spreadsheet. One tab per client, one row per call. It worked fine when we were doing four or five interviews a month.

Interviewer: And now?

Maya: Now we run somewhere between twenty and thirty a month across six accounts. Past about twenty interviews the spreadsheet just falls apart. Nobody trusts the columns anymore, because half of them get filled in from memory two days later.

Interviewer: Who fills them in?

Maya: Whoever ran the call, which means me most weeks. I block ninety minutes every Friday to type up notes, and I usually lose that fight. Last month I skipped it twice and the detail was gone for good.

Interviewer: What happens when the detail is gone?

Maya: We repeat ourselves. Two of our strategists asked the same client the same pricing question three weeks apart. That is embarrassing, and it is also expensive.

Interviewer: Have you tried other tools?

Maya: We bought a CRM last spring. The team abandoned it inside a month. The data entry was the whole problem, and the tool made it worse rather than better. If a tool asks me to retype what I already said out loud, it is dead on arrival here.

Interviewer: If something did solve this, how would you want to buy it?

Maya: Per project would make sense for us. We staff up and down constantly, so per seat pricing punishes us for hiring. I would happily pay for the six accounts that are active this quarter. Whether finance signs off is a different conversation, but I would push for it.

Interviewer: Anything you would not want?

Maya: Nothing that needs a separate login for every strategist. That kills adoption on day one.
